Registration & Fee Schedule

You MUST register online through the Old Dominion University's Registration website
THIS YEAR: The Registration link is provided by e-mail invitation ONLY to the Head Sponsors of each school and parents of individual members.

Please Remember: Everyone MUST register (and make payment) to attend the VJAS Research Symposium.
The below text was e-mailed to Head Sponsors and Parents of Individual Members by the VAS/VJAS Office on April 23, 2019:

REGISTRATION PROCESS & ODU REGISTRATION LINK

Hello to all VJAS Head Sponsors,

Online Registration for this year's meeting is now available and the link to registration will be made available on the VJAS website as soon as possible.  For convenience, the link is also included at the end of this message. The registration process for this year's Research Symposium is very similar to the process used for last year's meeting at Longwood University.  There are 2 payment options: pay by credit card and pay by check.  In the event that payment will be via a school credit card then the person completing the registration form must have access to the school's credit card while completing the registration form. 

There will be two different steps in the VJAS Registration process. The first step is described below.
  • First, you will need to access the VJAS registration site via the link provided at the end of this message. 
  • Next, you will need to select between 2 options - Sponsor with Housing or Sponsor without Housing.
  • Then the Head Sponsor will first provide his/her name and enter all of the other requested information including the number of students he/she will be accompanying during the meeting (up to 10 for middle schools and up to 20 for high schools) and the payment method (check or credit card).  Once all information has been added, the Sponsor should select Continue Shopping in order to add additional attendees
  • Then,  the Head Sponsor will continue to provide, in sequence, the name and required information for each additional teacher and/or chaperone who will be accompanying the students during the meeting and provide the number of students who each additional teacher or chaperon will be accompanying during the meeting. 
  • Once all of the information about the Head Sponsor and other teachers and chaperones has been completed then the Head Sponsor should continue to the next step Checkout  
Please note that the above procedure does not involve listing the names of the students of the students who will be participating in the meeting.  This information will be collected at a later date (as described in the next step of registration).

This initial step of VJAS Registration SHOULD BE COMPLETED ASAP (especially if you will be staying on-campus) and by Thursday, May 2.  Therefore, it is very important that Head Sponsors start working on registering their participants ASAP (i.e., tomorrow). 

The second step of registration will involve the following. 
The next step will be for you to generate a list (Excel file preferred) of the following information about the attendees from your school:
  • names and gender of all student attendees - and roommate assignments (2 students per room) if your school who will be staying in on-campus housing
  • names and gender of all teachers, sponsors, chaperones or other adults who will be bringing the students to the meeting - if staying on campus each adult will be housed in a single room
  • If additional information is needed I will let you know within a day or so. 
Later this week I will send you year's Medical Release Form to everyone so that you can distribute it to the students' parents for completion.

FEE SCHEDULE

  • Sponsors/teachers/chaperones arriving on Tuesday afternoon/evening & departing Thursday early afternoon – includes on campus housing (no linens provided) & meals (dinner on Tuesday, all meals on Wednesday, breakfast on Thursday)
           $100 per person
  • Students arriving Tuesday afternoon/evening & departing Thursday early afternoon – includes on campus housing (double occupancy, no linens provided) and meals (dinner on Tuesday, all meals on Wednesday, breakfast on Thursday) 
          $140 per person
  • Sponsors arriving early Wednesday morning & departing late Wednesday afternoon (i.e., commuters) – includes lunch on Wednesday 
          $50 per person
  • Students arriving early Wednesday morning & departing late Wednesday afternoon (i.e., commuters) – includes lunch on Wednesday 
          $50 per person
  • Guests/Observers attending on Wednesday
          $10 per person; Lunch in dining hall on Wednesday is optional – $10
